BACKGROUND INFORMATION:
Staff are requesting approval for thirteen (13) light - medium duty trucks for various departments. These trucks are a combination of replacement vehicles that are being retired from service, and new vehicles for departmental use to support several positions that have been added to the organization. In addition, staff are requesting the purchase a new ambulance chassis and to remount an existing modular box with needed updates. The remount will be performed by Frazer Ltd and purchased with the chassis through Sterling McCall Ford.
The City will be utilizing a City contract with Bluebonnet Motors, a cooperative BuyBoard contract for Silsbee Ford and Sterling McCall Ford and a cooperative TIPS contract for Doggett Freightliner of South Texas. These contracts support the completive procurement requirements.
The pricing provided is for 2024-year model vehicles utilizing the government pricing. The total being requested is 1,260,056.55. The estimated delivery for these orders is second quarter of 2024.
Additional vehicles are requested in the FY 2024 budget and will be brought to City Council for approval when quotes are obtained through the government schedules as they are available and/or as stock is available from dealers.
Staff are asking for authorization to declare the existing vehicles that are being replaced as surplus. The surplus funds support future vehicle purchases.

ISSUE:
Staff are requesting new and replacement of vehicles to maintain fiscal stability of city operations.
FISCAL IMPACT:
The costs for vehicles, equipment and installation services described above is funded from the 2023 Tax Notes, 2019 Bond Fund, 2020 Tax Notes, the Stormwater Development Fund, and the FY 2024 General Fund for the appropriate departments. Therefore, sufficient funds are available to purchase the vehicles and all above-referenced equipment.

Staff recommends approval of a purchase with Bluebonnet Motors, Inc., Silsbee Ford, Doggett Freightliner of South Texas LLC-Austin and Sterling McCall Ford for fleet vehicles to support various city operations and approval to declare the replaced units as surplus.
