BACKGROUND INFORMATION:
In 2024, the City began utilizing Quickbase to better manage, analyze, and present data in support of the Strategic Plan initiative “Organizational Excellence.” As seen at the July 11th Council retreat, Quickbase can produce dashboards and other reports for the Council and the public to consume. Currently, the dashboards are used to present Key Performance Indicator (KPI) data.
Through a development contract with Quickbase, Inc., Transportation and Capital Improvements and Information Technology Departments are planning to expand the current use of Quickbase to include a project management module for use by the Capital Programs Division for a total contract value of $59,945. Currently, projects are managed through multiple programs, including Procore, Microsoft Project, and Microsoft Excel. Quickbase can combine the data being managed into comprehensive dashboards to increase the efficiency of project management tasks. This data can also be presented on dashboards similar to the KPI data to expand project reporting to City Leadership and Council.
The contract also includes Form Engine which will be used citywide to integrate electronic forms with Quickbase, including forms for the Project Management System.
This purchase is being made via the Tarrant County Purchasing Cooperative to satisfy procurement requirements.

FISCAL IMPACT:
The total contract value with QuickBase, Inc. is $59,945. Funds are available in the FY 2024 Transportation and Capital Improvements budget to initiate the development of the Project Management System with the remaining funding incorporated into the FY 2025 Proposed Budget. Funds are available in the FY 2024 Information Technology budget to fund $5,000 for the Form Engine component of the project. Therefore, sufficient funds are available.
