BACKGROUND INFORMATION:
On July 30, 2021, the City of New Braunfels issued a Competitive Sealed Proposal for cemetery maintenance services to be performed at the Comal Cemetery and New Braunfels Cemetery. Contractor is to act as the cemeteries’ caretaker and perform such duties as plotting and identifying gravesites, landscape maintenance, daily/routine maintenance, making both cemeteries available to the public pursuant to the established rules and regulations of both cemeteries and other administrative services as described in the solicitation. This solicitation was advertised and competitively solicited with a closing date of August 27, 2021. The City only received one (1) response from our current contractor, Maintenance Management of San Marcos, which was evaluated based upon price and qualifications. The contract award was approved by Council on September 27, 2021, via Agenda 21-956 with an initial term of October 1, 2021, through September 30, 2026, with an option to renew the contract for one additional term of five years.
The supplier continues to perform the services under the contract, meeting or exceeding outlined specifications and requirements, as such, staff recommends that the current renewal option be exercised. The recommended contract term will end September 30, 2031. The contracted pricing for the renewal will be:
Year Six - $152,595
Year Seven - $155,644
Year Eight - $158,757
Year Nine - $161,932
Year Ten - $165,170
The contract has an established rate for Ad-Hoc adjustments to headstones and other related items requiring maintenance service that are located in the cemeteries of $108.00 per/square foot.

ISSUE:
The City has a need for a contractor to act as Caretaker for the Comal Cemetery and New Braunfels Cemetery to ensure the areas receive proper maintenance and landscaping.

FISCAL IMPACT:
Funding for the contract described above is incorporated annually into the General Fund-Park Operations division. Therefore, sufficient funds are available.
