BACKGROUND INFORMATION:

The City issued a competitive sealed proposal on September 14, 2021 and received four (4) responses city-wide fleet oils, lubricants and disposal services.  Staff are recommending a multi-award by line items to Avery Oil Company and Midtex Oil, LP.  This is a 3-year contract with two additional one-year renewal options.  Price increases are allowed with substantiated documentation due to market conditions. These contracts will be utilized by multiple departments with City Fleet operations, the Police Department and the Fire Department as primary users and managed by Central Fleet.

 

This is an annual City-wide requirements-based contract. Therefore, expenditures are based entirely on actual demand. The annual projected spend on all products is $190,000. Staff is also asking for approval for the City Manager to execute contract modifications up to his authority as designated by City Ordinance 2.1.

 

 

ISSUE:

Continue to ensure fiscal stability of city operations

 

 

FISCAL IMPACT:

The funding for these contracts is incorporated in the appropriate FY 2022 departmental operating budgets, therefore sufficient funds are available for this purchase.
