BACKGROUND INFORMATION:
Multiple departments have vehicle purchases scheduled for the coming years, all of which require installation of ancillary equipment, such as light bars, cages, heavy duty consoles, docking stations, etc. prior to deployment for use. The City currently has a contract for the purchase of the additional equipment; however, installation has been on an as-needed basis.
The City issued a request for proposals (RFP) on December 12, 2023, for installation services, and after review of responses, staff are recommending award of on-call contracts to Dana Safety Supplies, Farrwest Specialty Vehicles, and Bluebonnet Motors, Inc. The contracts will be issued for three years with two one-year options to renew. The agreements have an estimated spend of $120,000 annually with a not-to-exceed amount of $600,000 for the full five years. This estimated spend will be distributed to the vendors as needed.
ISSUE:
Seeking City Council approval of projected annual spend greater than $50,000, which maintains fiscal stability and continues to ensure the protection of citizens’ lives and property.
FISCAL IMPACT:
Funding for the annual expenditures above are incorporated into the appropriate FY 2024 budgets. However, the amounts above are estimates; actual costs are dependent upon needs. If the actual costs above exceed what was allocated in the budget, requests will be brought back to City Council for approval.
